Connecting Your Calendar: Google, Outlook, and iCloud
Overview
Schedly Connect is the integration that links your external calendar to Schedly so your scheduling stays accurate and
hands-off. Once connected, Schedly reads your existing busy times to prevent double-booking and automatically writes new
bookings created through your Event Types and Service Booking pages into your calendar. This is essential for anyone
taking real appointments — hosts, team members, and organization admins who don't want to manually copy events between
tools.
Prerequisites
Before you connect a calendar, make sure you have the following in place:
- An active Schedly account that you can log into (email/password, SAML/OIDC, or magic link all work).
- Access to your Schedly dashboard — you'll be redirected here after a successful login.
- Login credentials for the calendar provider you want to connect (Google, Outlook, or iCloud).
- At least one configured Event Type under Schedly Services, so Schedly has something to write bookings for.
Any plan tier — Basic ($10/month), Pro ($25/month), or Enterprise (custom pricing) — can use Schedly Connect to keep
bookings synced with your calendar.
Supported Calendar Providers and Their Differences
Schedly Connect supports three major providers. Each behaves slightly differently once connected:
- Google Calendar — Best for personal Gmail accounts and Google Workspace teams. Supports reading busy times across
all your calendars and writing new bookings to any calendar you own.
- Outlook / Microsoft 365 — Ideal for organizations already using Microsoft 365 or Exchange Online. Reads busy/free
status and writes bookings to your chosen Outlook calendar.
- iCloud — Works with Apple Calendar for individuals and small teams. Reads busy times and adds new bookings to the
iCloud calendar you designate.
The core behavior — conflict checking plus automatic booking creation — is identical across all three. The differences
come down to the authorization screen each provider presents and how their calendars are named.
Step-by-Step Instructions
Connecting Your First Calendar
1. Log in to Schedly and land on your dashboard.
2. Open Schedly Connect from the main navigation. This is the section that integrates with your calendar to
automatically update events.
3. Click the button for the provider you want to link: Google, Outlook, or iCloud.
4. You'll be redirected to your provider's secure OAuth authorization screen. This step never asks Schedly to store
your calendar password.
Authorizing Access (OAuth Flow)
1. On the provider's screen, sign in with your calendar account credentials.
2. Review the permissions Schedly requests — reading your busy times and creating/updating events on your behalf.
3. Click Allow (Google/iCloud) or Accept (Outlook) to grant access.
4. You'll be sent back to Schedly, and the connected calendar will appear in your Schedly Connect list with a connected
status.
Choosing Which Calendar New Events Are Written To
1. In Schedly Connect, find your newly connected account.
2. Select the target calendar for new bookings — for example, your primary Google calendar or a dedicated
"Appointments" calendar.
3. Save your selection. From now on, every booking created through your Event Types and Service Booking pages is
written to that calendar automatically.
How Schedly Reads Busy Times to Prevent Double-Booking
Once a calendar is connected, Schedly continuously reads the busy/free status of the events on it. When someone opens
your booking page, Schedly cross-checks the requested time against your calendar's busy blocks in real time. Any slot
that overlaps an existing event is hidden or marked unavailable, so guests can only book times you're genuinely free.
This works alongside your event settings — including duration (15 to 120 minutes) and the Requires confirmation option
that determines whether a booking needs host approval before it's finalized.
Handling Multiple Connected Calendars
You can connect more than one calendar to Schedly Connect — for example, a personal Google calendar and a work Outlook
calendar. When multiple calendars are connected:
- Conflict checking spans all of them. Schedly reads busy times from every connected calendar, so a meeting on any of
them blocks that slot on your booking page.
- Only one calendar receives new bookings. You designate a single target calendar for writing events. Change it any
time in Schedly Connect.
This lets you avoid double-booking across every calendar you keep while keeping new appointments organized in one place.
Disconnecting or Refreshing a Calendar Connection
1. Open Schedly Connect.
2. Locate the calendar account in your connected list.
3. To refresh the connection (for example, after a provider password change), click Reconnect and complete the OAuth
authorization flow again.
4. To remove it entirely, click Disconnect. Schedly stops reading that calendar's busy times and stops writing new
bookings to it.
Key Details & Limits
- Supported providers: Google Calendar, Outlook / Microsoft 365, and iCloud.
- Authorization method: Secure OAuth — Schedly never stores your calendar password.
- Event durations written to your calendar range from 15 minutes to 120 minutes, matching your event type settings.
- Conflict checking reads busy times from every connected calendar; new bookings are written to only one target
calendar.
- Available on all plans: Basic ($10/month), Pro ($25/month), and Enterprise (custom pricing).
- Insights data on your bookings updates in real-time, so synced events feed straight into your analytics.
Frequently Asked Questions
Which calendar providers can I connect? Schedly Connect supports Google Calendar, Outlook / Microsoft 365, and iCloud.
All three support real-time conflict checking and automatic booking creation.
Does Schedly see the details of my personal events? Schedly reads your busy/free status to block conflicting times. It
only creates and updates the bookings you make through Schedly on the target calendar you choose.
Can I connect more than one calendar? Yes. Connect as many calendars as you need — Schedly checks conflicts across all
of them, but writes new bookings only to the single target calendar you select.
How do I change which calendar new bookings are written to? Open Schedly Connect, select your account, and choose a
different target calendar, then save. All future bookings go to the new calendar.
What happens to existing bookings if I disconnect a calendar? Disconnecting stops future conflict checks and stops
writing new events to that calendar. Events already written to your calendar remain there.
Will confirmation-required events still sync? Yes. If an event type has Requires confirmation checked, the booking is
written once the host confirms it, so your calendar reflects only finalized appointments.
Troubleshooting
Calendar didn't connect after authorization. Return to Schedly Connect and confirm you clicked Allow / Accept on the
provider screen. If the account isn't listed, click your provider's button again to restart the OAuth flow.
Bookings aren't appearing in my calendar. Check that you've selected a target calendar in Schedly Connect. If no target
is set, Schedly checks conflicts but has nowhere to write new events.
Available slots show times I'm actually busy. Make sure every calendar holding your commitments is connected in Schedly
Connect. Conflict checking only reads calendars you've linked.
Connection stopped working after a password change. Click Reconnect next to the affected account and complete the OAuth
authorization again to restore access.
